Appropriate use

Connect only business information your company can authorize.

We confirm your use case and mailbox scope during assisted setup. The applicable service agreement sets the contractual requirements before activation.

Authorized users and mailboxes

Use your own approved Microsoft work account. Your company must have authority to connect the selected mailbox and grant access to participating staff. Keep membership current and protect credentials, activation codes and sessions.

Human review

Review AI categories, summaries, suggestions and drafts before relying on them. Check the recipients and content of every message before you press Send, and the selection before you archive, move or delete mail. Do not use Smart Inbox to send unlawful, deceptive or unsolicited bulk messages.

Sensitive and regulated data

Do not use Smart Inbox as a system of record for regulated health records, payment-card numbers, government identifiers, consumer reports, children's information, authentication secrets, classified information or export-controlled technical data. Ordinary business email may contain such material incidentally, but do not deliberately connect a mailbox for it. Agreeing to the acceptable-use policy at sign-in is your confirmation that you will not. Tell Ashby first if you think you need a different arrangement; any exception needs a written addendum.

Protect the service and other users

Do not attempt unauthorized access, bypass company or mailbox controls, introduce malware, or disrupt the service. Report suspected security problems without including passwords, tokens or real mailbox content.

Scope or security question?

Contact seth@ashbysystems.com before connecting the mailbox.

Access levels

New mailbox connections start read-only. Each person can choose read and reply, or full access, for a mailbox they use. Each level above read-only requires a separate Microsoft permission and disclosure. Read what each level means.
