Know what needs attention. Make the next owner clear.

Smart Inbox by Ashby Systems helps Microsoft 365 teams coordinate work through email. Managers can review open conversations and commitments; frontline staff can see what they own, understand the exchange and prepare the next reply.

What it does every morning

The work that matters, sorted for you.

Priorities

What needs a reply

Customers waiting on you, new quote requests, orders to confirm and urgent supplier changes rise to the top. The rest waits.

Follow-ups

Follow-ups that need a look

Review follow-up signals and stated commitments in the source conversation. A quote that has gone quiet is one useful example. Signals help you decide what to do next; they are not guaranteed to find every open item.

Whose move

Waiting on you, or on them

Open conversations show whose turn it appears to be, with source messages you can check before replying. The Waiting on Us card surfaces conversations that appear to need your team at any priority except Low, longest wait first. Check the messages before acting; the assessment can be wrong.

Customers

One view per customer

Conversations are grouped by company, so you can see where every account stands before you pick up the phone.

Ask your inbox

Plain-English answers, with sources

"How many RFQs did we get this month?" "What is this customer waiting on?" Answers link to source messages for you to check.

Replies

Reply without switching apps

Ask for a draft using the available conversation context, edit it, and reply, reply all or forward from Smart Inbox. You check it and press Send; it goes out from your Outlook.

Clean up

Clear out the noise

Newsletters and notifications, grouped by sender. Keep what you want, archive or delete the rest in one step. It happens in Outlook too, and nothing is ever deleted permanently.

Teamwork

Clear owners and personal focus

Assign a conversation to an eligible teammate, then use Mine to focus on your own. People with mailbox access can see the owner. Snooze a conversation deliberately and review it when it returns.

Attachments

When the request is in the PDF

Read supported text attachments with AI when you ask. Automatic attachment reading is off in the current release. Check the result against the original file; scanned images and drawings are not supported text-reading claims.

Notifications

Know when a customer writes back

While Smart Inbox is open, get a notice when someone replies in a conversation you own or follow, or when urgent mail lands that is waiting on your team. Follow or mute any conversation; set quiet hours.

Corrections

Your call sticks

Change a priority, category or status and the AI never overrides it. Every decision is kept in the conversation history and the audit trail.

Desktop

Opens like a program

Add Smart Inbox to your desktop from Edge or Chrome and it opens in its own window, alongside Outlook. Nothing to install or update.

A connected email workflow

From the overview to the next action.

Managers review the dashboard and assigned follow-ups. Teammates can choose Smart priority for focused review or Outlook order for a newest-first view of imported mail. On desktop, the email list stays alongside the reader; on phones, Back to emails returns to the list. Expand the summary when you need more context, check the original message and keep ownership and email-linked tasks clear. Compose remains available from the app navigation.

Outlook order respects the selected mailbox, folder, filters and imported history. It may differ from Outlook while sync catches up. Initial connection imports the previous 30 days by default; this is not a rolling deletion rule. Check actual coverage in Settings. Automatic sync continues under the selected settings; manual Sync Now is in Settings.

Microsoft 365 is the current connection. Gmail is planned, with no availability date promised. Logging actions from WeChat or other work outside email is deferred.

Built for a working team

Choose your work mailbox. Keep access deliberate.

Personal mailbox access is scoped to authorized members. Shared-mailbox support is implemented, but real connection, delegate access and revocation still need live acceptance before it is offered to customers.

How access works
  • Each person signs in with a Microsoft work account
  • You choose which mailboxes to connect
  • Microsoft permission and app membership both apply
  • Personal mailboxes stay private to their owner
  • Corrections and decisions stay with the conversation

You stay in control

Smart Inbox never acts on its own.

Each person chooses their own access: read-only, read and reply, or full access. Sending, moving, archiving and deleting require your explicit action. You can separately opt in to marking a message read in Outlook when you open it in Smart Inbox. Delete moves mail to Deleted Items; Smart Inbox does not permanently delete Outlook mail. When the AI gets something wrong, you correct it once and your call sticks.

New mailbox connections default to read-only. Read and reply, and full access, are implemented for users who explicitly choose them and complete separate Microsoft consent. Shared-mailbox use still needs live acceptance checks.
