What to expect from Smart Inbox.

Access is reviewed directly. A request does not create an account, authorize a mailbox, or start a charge.

Does Smart Inbox send, delete, or move email?

No. Smart Inbox is read-only toward Outlook. It cannot send, forward, delete, move, archive, or mark messages as read.

Do we migrate away from Outlook?

No. Outlook remains the source of truth. Smart Inbox is a focused review workspace alongside Microsoft 365.

Can it work with a shared Microsoft 365 mailbox?

The current product build includes a shared-mailbox path. An authorized administrator connects the approved mailbox, and each participant still needs the appropriate Microsoft permission and application membership. Customer access will not open until that path passes a live Microsoft 365 acceptance test.

How much mailbox history is reviewed?

The current evaluation design starts with a bounded recent-history window rather than years of mail. The exact evaluation scope is agreed before activation and is not a guarantee that every message will be processed or categorized correctly.

Can a company administrator automatically read employee mail?

No. An administrator role alone does not grant message-content access. Personal mailbox content remains limited to its members. Shared mailbox access is granted deliberately to the people who work with that mailbox.

How many people can participate?

Single User includes one user; Team includes an administrator and up to two colleagues. Both have monthly and annual billing. Single User includes one mailbox. Team includes up to three mailboxes, including separate work accounts; a shared mailbox is optional. You choose a subscription only after the trial.

What happens when someone corrects a suggestion?

The decision is recorded with the conversation and takes priority over later automated classification. AI output can still be incomplete or wrong and should be reviewed by a person.

Where is customer data processed?

The public website currently uses Netlify for hosting and request forms. The Smart Inbox application is not yet open for customer use. Ashby will update the Privacy Notice and service-provider list to match the verified production hosting and AI configuration before activation.

How does the free trial and pricing work?

You get 14 days free after your connected workspace is ready, with no card required. After the trial, your administrator can subscribe to your agreed Single User or Team plan through Paddle. The free trial does not automatically become a paid subscription. See current pilot prices before you apply. Paying is optional.

How do we request access?

Use the request page to describe your company, team, Microsoft 365 setup, and workflow at a high level. Do not include real messages or confidential information. Ashby reviews the request before issuing any activation code.

How do we cancel or disconnect?

Cancel renewal through Billing before your next charge; paid access continues through the paid period. At the end of an unpaid trial, workspace use and further processing pause. You can still open Billing, disconnect Outlook in Settings or contact Ashby for help. Disconnecting Outlook does not itself cancel a paid subscription.

When will I see subscription options?

Prices are available on our pricing page before applying and in the app during your trial. After the 14 days, open Billing to choose Single User or Team, billed monthly or annually. You see the full cost and renewal terms before choosing to pay. If you decide not to continue, you can tell us why in the same screen.

How do I add the other two team members?

The administrator adds their company emails in Settings → Team access and shares the sign-in link. After each colleague signs in once with Microsoft, the administrator opens Manage team access beneath the shared mailbox and adds them to it. The app displays these steps. It does not send invitation emails automatically, and colleagues do not need to import personal mailboxes.

Will someone help us get started?

Yes. The pilot includes assisted company activation, mailbox setup and a useful-workspace check before the trial starts. A getting-started guide explains the app before the first sync. The trial is not fully self-service during this pilot.

Optional replies are coming to the pilot

The released connection is currently read-only. We are preparing replies for trial and paid users, with separate permission, review before every Send, and completed legal and release checks. Read what enabling replies will mean.
