RFQs · Manufacturers and suppliers · Microsoft 365

Keep the RFQ moving, from first request to next reply.

A customer asks for a price. Someone needs to confirm the specification. A supplier owes a lead time. Smart Inbox helps you review the email work behind the quote and see who owes the next move.

A synthetic RFQ

400 brackets. One missing detail.

The companies, people and messages below are invented examples, not a customer case study.

The request

Oakline Builders asks Kestrel Supply for 400 galvanized brackets, 150 × 75 mm, delivered by October 10. A formal quote is due Wednesday. The email does not state the steel thickness.

The right next step is to confirm that detail and check stock and lead time before promising delivery.

The review

Use the conversation summary and suggested next step to find what needs attention. Check the source email and open any drawing in Outlook before quoting. AI can miss details or get them wrong.

Smart Inbox does not set your price, confirm inventory or approve delivery promises.

Keep each stage visible.

Know what needs an answer

Review quote requests, summaries and the likely next action. Give the conversation an owner and correct any suggestion that does not match the thread.

Waiting on a detail

See whose move it is

Check whether the customer owes a specification or your team owes a quote. Snooze a conversation until the agreed check-in date; check the source before acting.

Review quiet conversations

Review follow-ups due and ask questions with links back to source emails. Ask for a draft, check the facts and recipients, then send through Outlook or with separately consented reply access.

Microsoft 365 stays under your control.

New mailbox connections default to read-only. Read and reply, and full access, are implemented for users who explicitly choose them and complete separate Microsoft consent. Shared-mailbox use still needs live acceptance checks.

Draft generation is a choice you make. A draft is a suggestion, not an approved quote or an automatic follow-up campaign.

Read the access and security overview.

Availability

Customer signup is not open yet. Final legal documents and live acceptance checks must be completed before customer access opens. Live paid subscriptions are also awaiting release checks.

The planned trial is 14 days, no card, with no automatic conversion. See the published pilot prices.

Put a follow-up routine in place.

Use an agreed next date and a short message tied to the quote, even before you add a new tool.
